Welcome to CharterBusCT.com. These Terms and Conditions govern your use of our website, booking platform, and all ground transportation logistics and charter services provided by CharterBusCT.

By requesting a quote, submitting a booking manifest, signing a digital contract, or utilizing our vehicles, you agree to be legally bound by these terms. If you do not agree with any part of these terms, you must not proceed with your reservation.

1. Reservation and Payment Policies

Deposits and Final Payments

  • Booking Deposit: A non-refundable deposit (a fixed percentage outlined in your specific contract) is required at the time of booking to officially secure and lock in your vehicle and date.

  • Final Balance: The remaining balance for your charter service must be paid in full no later than 14 days prior to your scheduled departure date.

  • Late Bookings: Reservations made within 14 days of the departure date require immediate full payment at the time of booking. Failure to settle balances on time may result in automatic cancellation of the vehicle without a refund of the initial deposit.

Accepted Payment Methods

  • We securely accept all major credit cards (Visa, MasterCard, American Express, Discover), bank ACH transfers, and pre-approved corporate checks. A standard processing fee may apply to credit card transactions.

2. Cancellation and Amendment Policies

We understand that event timelines evolve. However, because vehicles are committed exclusively to your itinerary upon booking, the following cancellation framework applies:

  • Cancellations 30+ Days Prior: Cancellations made more than 30 days before the trip departure will forfeit the initial deposit, but any additional balance payments made will be refunded.

  • Cancellations 15 to 30 Days Prior: Cancellations within this window are subject to a fee equal to 50% of the total contract value.

  • Cancellations Within 14 Days: Any cancellation made 14 days or closer to the scheduled pickup time is completely non-refundable, and the client remains responsible for 100% of the total contract value.

  • Itinerary Changes: Minor route modifications, timing tweaks, or passenger adjustments can be requested up to 72 hours before the trip, subject to vehicle availability and potential price adjustments for extended mileage or hours.

3. Vehicle Availability and Substitution

At CharterBusCT, we maintain an elite fleet. However, unexpected mechanical failures or logistics delays beyond our control can occur.

  • Right to Substitute: CharterBusCT reserves the right to substitute a booked vehicle with an equivalent or higher-class vehicle from our network or trusted affiliate partners if the original vehicle becomes unavailable due to mechanical issues or sudden force majeure.

  • Capacity Guarantee: We guarantee that the substituted vehicle will cleanly accommodate the exact passenger headcount specified in your original signed booking manifest.

4. Passenger Conduct and Vehicle Damage

To maintain our pristine standard of service for every customer, all passengers must adhere to the following rules during transit:

  • Prohibited Items: Smoking, vaping, and illegal drug use are strictly prohibited inside all vehicles at all times.

  • Alcohol Policy: Alcohol consumption by passengers of legal drinking age (21+) is permitted only inside select luxury sprinters or party buses, provided it is explicitly cleared by our office in writing prior to departure.

  • Damage and Cleaning Fees: The contracting client assumes full financial liability for any physical damage caused to the vehicle by passengers (e.g., torn upholstery, broken tech equipment, smashed windows). If a vehicle requires exceptional cleaning or deep sanitization due to passenger conduct, a minimum $300 cleaning fee will be automatically charged to the card on file.

5. Delays and Force Majeure

While we optimize our routes meticulously, CharterBusCT cannot be held liable for itinerary disruptions, missed flights, or financial losses resulting from circumstances outside of our direct operational control. These include, but are not limited to:

  • Extreme weather events, winter storms, or flash flooding.

  • Severe traffic delays, highway closures on major routes like I-95 or the Merritt Parkway, or unannounced construction zones.

  • Accidents caused by third parties, civil unrest, or sudden acts of God.

6. Limitation of Liability

To the maximum extent permitted by law, CharterBusCT’s total liability for any claim, loss, damage, or injury arising from our services—whether in contract or tort—shall not exceed the total financial amount paid by the client to CharterBusCT for that specific reservation contract.

7. Governing Law

These Terms and Conditions are governed by, interpreted, and enforced in accordance with the laws of the State of Connecticut, without regard to its conflict of law principles. Any legal disputes or claims arising out of your booking must be resolved exclusively within the state or federal courts located in Connecticut.
